Introduction

Aikeedo sends emails when something happens on an account: a sign-up, a password reset, an invitation, a purchase. The Emails page lists every one of them, including emails added by plugins. From there you can turn each one off, and preview how it looks. Emails are delivered through the transport you set up under Mail. To change their wording or design, edit their templates.

The Emails page

Go to Settings → Email → Emails. Emails are grouped by what they are about: Account, Workspace, Billing and Admin, followed by any groups that plugins add. Each row shows the email’s name and when it is sent. Emails added by a plugin are marked with a puzzle icon.

Emails Aikeedo sends

Emails that accounts need in order to work are marked Always on and have no switch.
Without the Workspace invitation email, invited people only learn about an invitation if someone tells them.

Turning emails off

Every email is on by default. Switch an email to Disabled and click Save changes. The change applies to the next email sent, including ones sent by a background worker. If you turned off purchase emails in an earlier version, that choice carries over until you first save this page.

Previewing an email

Click Preview on any row to see the email as your users will. It is filled with sample data, with your own account as the recipient. Switch between Desktop and Mobile to check both widths. The Subject is shown above the email. Nothing is sent when you preview. This makes it a quick way to check a customised template after editing it.

Purchase confirmation

After a paid order is completed, the workspace owner gets a Purchase confirmation email in their own language. It works as a receipt: the plan, amounts, any discount and tax, the total, the payment method and the billing details. Free orders don’t send one. When you use invoicing, the email waits for the invoice and arrives with the invoice PDF attached. If the invoice isn’t ready within an hour, the email is sent without it, and the Invoice ready email follows with the PDF once the invoice is issued. Both emails are sent as background jobs, so cron must be running.
